A250 Speakers Bureau: Hosting Guidelines
Thank you for your interest in the IHC A250 Speakers Bureau. Below are resources to get you started planning your event and to ensure that your event is a success. These are suggestions, you are the expert on your community, and you know best what will work for your community.
Eligibility
- All nonprofit organizations, educational institutions, carceral institutions, libraries, historical societies, museums, social service organizations, community centers, and places of worship are welcome to apply.
- The event must take place in Idaho.
- The event should be free to attend and open to the public.
Logistics & Coordination
- Time: Plan on one hour for each presentation with time allotted for discussion and/or questions.
- Speaker Needs: Make sure that you can meet the presentation needs of your speaker including lectern, AV equipment, etc.
- Accessibility: We strive to ensure that all our events are accessible for persons with disabilities. This means the following:
- Wheelchair Accessibility. Doorways and aisles must be wide enough for a wheelchair and must have space enough for the wheelchair to be turned around. The building must have a level access ramp. A temporary ramp is acceptable.
- Accessible Bathroom. An accessible bathroom must be provided if there are any public bathroom facilities in the building.
- Accessible Parking Space. A designated parking space if parking for others is provided. (For example, some buildings only have street parking available. In this case, you would not have to provide an accessible parking space.)
- Auxiliary Aids and Services. Auxiliary aids and services must be provided when requested prior to the event.
- Communication: Please notify IHC if you need to make any changes to your program and confirm all arrangements with the speaker two weeks before the event.

Costs and Payment
- You as the host organization are responsible for paying the speaker fee of $250 and reimbursing up to $250 of travel costs directly to the speaker.
- When you apply, you will be asked on the program application form if you are seeking this grant and how much you wish to request. You can apply for up to $500 from the IHC to cover these costs.
- Hosts and speakers should agree on estimated travel costs ahead of the event. IHC requires reimbursement of all travel costs including mileage, airfare, rental car costs, overnight stay, meals, and child and pet care.
Audience Development & Event Promotion
- You are responsible for generating publicity for this event and securing an audience.

Recognition
Please credit the Idaho Humanities Council as a sponsor of this event by including our logo on any promotional materials and acknowledge the IHC in remarks at the event.
Feedback Surveys
We request that you distribute an audience feedback survey at the event using this QR code. This online feedback survey is important to help the IHC make our programs as valuable as possible to Idahoans.
Final Report
Cost Share
We request that you submit the cost share for this event with your final report. Cost share is the portion of this program’ total expenses that are not covered by our grant. This can include your own cash contributions to the event as well as in-kind contributions like donated goods, services, and time.
Evaluation
We ask that you provide your audience count and answer a few questions about the program to help us learn about your community and improve our work.
